How to Create a Guide

Guides define the interview experience used by Qualta AI. A Guide contains the interview content, interviewer settings, participant consent information, demographic questions, and other configuration options used during an interview.


Creating a Guide consists of three steps:

  1. Name the Guide
  2. Select a Prompt Template
  3. Configure and publish the Guide

Create a New Guide

First, navigate to the Guides page in the navigation menu.


To start the process of creating a new Guide, click + NEW GUIDE at the top of the page.

Name Your Guide

After clicking + NEW GUIDE, you will be directed to the Create New Guide screen.

  1. In the Guide Name field, enter a unique name for your interview guide.
  2. Once you have entered the name, click NEXT to proceed to the Prompt Template selection screen.

Select a Template

  1. To view available templates, click the dropdown arrow in the Prompt Template field.
  2. Select the Prompt Template that best matches your research goals.
  3. Click NEXT.

Qualta AI provides several built-in templates, including:

  1. Product Feedback
  2. Customer Experience Survey
  3. Employee Feedback
  4. User Research
  5. Public Opinion Research
  6. Cultural Research
  7. Shopify Product Feedback

You can also select No Template / AI Assist to create a fully custom interview.


If a Prompt Template is not available for your specific use case, select No Template / AI Assist to create a custom interview prompt and interview structure.


Most Prompt Templates include a prompt preview. Selecting a template displays the default prompt used by that template, allowing you to review it before creating the Guide. The prompt can be customized later from the Guide Edit page.


The Shopify Product Feedback template uses Shopify-specific configuration options and differs from other templates in how interview content is configured.


Each template includes different fields and interview configuration options. After selecting a template, you will be taken to the Guide Edit page, where you can configure the interview content and settings.


Configure Guide Sections

After selecting a Prompt Template, you will be taken to the Guide Edit page.

Changes made within the Guide Edit page are saved automatically. The save status is displayed near the top of the page.

  • A red exclamation mark indicates that a tab requires attention.
  • A green checkmark indicates that a tab has been configured successfully.
  • A dash icon indicates that the tab has not been configured, but configuration is optional.

What is a Section?

The Sections tab is used to configure the interview content for the Guide.

  • A Section represents a distinct topic or stage within an interview. Guides can contain one or more Sections, allowing interviews to be organized around different discussion topics.
  • Each Section contains its own prompt, which Qualta AI uses to generate interview questions and guide the conversation.
  • Every Guide contains at least one Section. Depending on the selected template and subscription plan, you may be able to add additional sections.

Additional Guide sections are only available on Pro and Enterprise plans.

Template-Based Guides

Most Prompt Templates create a pre-configured Section 1 that contains template-specific fields and a default interview prompt.


For example, the Product Feedback template (as shown in the image above) includes:

  • Product Name
  • Company Name
  • Product Features

These fields provide context that Qualta AI uses when generating interview instructions and questions.


No Template / AI Assist

Selecting No Template / AI Assist creates a fully custom Section 1.

  • Instead of template-specific fields, the section contains a prompt field where you can define the interview instructions yourself.
  • You can either enter the prompt manually in the Prompt field or click the AI Assist icon to generate one using AI.

Use AI Assist

AI Assist can help generate or improve interview instructions for a Section.


To use AI Assist:

  1. Click the AI Assist icon.

  1. Enter a brief description of the interview topic and research objective in the Prompt Assist window.
  2. Optionally, include a URL to provide additional context to Qualta AI.
  3. Click GENERATE PROMPT.

  1. Review the generated prompt.
  2. Make any changes as needed.

You can include a URL when using AI Assist to provide additional context, such as a product page, company website, or other relevant source.


Edit a Template Prompt

Most Prompt Templates include a default prompt that Qualta AI uses to conduct interviews.


If you need to customize the interview instructions, you can edit the default prompt.


To edit a template prompt:

  1. Enable the Edit Prompt toggle.
  2. Review the default prompt that appears.
  3. Modify the prompt manually in the Prompt field or use AI Assist to update the prompt.

Changes made to the prompt will affect how Qualta AI conducts interviews and generates questions for that section.


Editing a template prompt is optional. If you do not modify the prompt, Qualta AI will use the default prompt provided by the selected template.


Changes made to the prompt are saved automatically.


Add Additional Sections

Additional Sections can be used to organize an interview into multiple topics or stages.


To add a new Section:

  1. Click + ADD SECTION.
  2. A new Section is created and automatically selected.
  3. Enter a prompt for the new Section or use AI Assist to generate one.

  • Each Section contains its own prompt and interview content.
  • Questions generated for a Section are based on that Section's prompt and remain separate from other Sections in the Guide.

Additional Guide Sections are only available on Pro and Enterprise plans.


In template-based Guides, additional Sections use custom prompts and do not include the template-specific fields available in Section 1.


Add a Reference Image

A Reference Image can be added to provide additional context for the interview.


To add a Reference Image:

  1. Click Upload a file in the Reference Image section.
  2. Select an image from your device.

Alternatively, drag and drop an image into the upload area.

Supported file types include:

  • PNG
  • JPG
  • WEBP

The maximum file size is 5 MB.


Adding a Reference Image is optional.


Set the Approximate Number of Questions

The Approximate Number of Questions setting controls the approximate number of questions Qualta AI will ask during the interview.


To configure the Approximate Number of Questions:

  1. Locate the Approximate Number of Questions field.
  2. Enter a value between 1 and 10, or use the spinner controls to increase or decrease the value.

The default value is 3.


The Approximate Number of Questions field must contain a value between 1 and 10. A validation warning is displayed if an invalid value is entered.


Add Static Questions

Static Questions are optional questions that can be added to every interview. They are asked in addition to AI-generated interview questions.


To add a Static Question:

  1. Click + ADD QUESTION.

  1. Select a Question Type.
  2. Enter the Question Text.
  3. Click ADD QUESTION.

The available Question Types are:

  • Open-ended
  • Multiple Choice

  • For Multiple Choice questions, an Options section appears after the question is created. Use the + Add Option button to add answer options. Answer options can be reordered using the drag-and-drop handles.
  • To remove a Static Question or answer option, click the corresponding Remove icon or button.

Static question text must contain between 24 and 480 characters.


Multiple-choice questions must contain at least 2 answer options and no more than 10 answer options.


Configure Interviewer Tone

The Interviewer Tone setting controls how Qualta communicates with participants during an interview.


Select an Interviewer Tone

To configure the Interviewer Tone:

  1. Click the Tone tab.
  2. Open the Interviewer Tone dropdown menu.
  3. Select the desired Interviewer Tone.

  • Academic
  • Casual
  • Professional

The selected interviewer tone influences how Qualta phrases questions and interacts with participants throughout the interview.


Configure Interviewer Audio

The Interviewer Audio tab is used to select the voice Qualta AI uses during interviews.


Select an Interviewer Voice

To select an interviewer voice:

  1. Click the Audio tab.
  2. Browse the available interviewer voices.
  3. Click the Play button to listen to a voice sample.
  4. Click the desired voice card to select it.

Each voice card displays:

  • Voice name
  • Language
  • Gender
  • Audio preview controls

Use the audio preview controls to listen to each voice before making a decision.


Configure Informed Consent

The Informed Consent tab is used to provide participants with information about the interview and how their data will be collected, used, and managed.


Choose an Informed Consent Method

Qualta AI supports two methods for creating informed consent:

  • Builder - Create informed consent using predefined consent sections.
  • Custom - Create a fully custom informed consent document.

To select an informed consent method:

  1. Click the Informed Consent tab.
  2. Select either Builder or Custom.

Use the Consent Builder

The Consent Builder allows you to create informed consent using predefined consent sections.


To use the Consent Builder:

  1. Select Builder.
  2. Enable the consent sections you want to include.
  3. Complete any associated fields.

  • Anonymize
  • Interviewing Organization
  • Purpose
  • Duration
  • Access
  • Data Use
  • Contact Name
  • Contact Email
  • Contact Phone
  • Additional Information

The Duration section is calculated automatically by Qualta and does not require manual entry.


Do not select Anonymize if your static questions collect personally identifiable information.


When a consent section is enabled, any associated fields become required and must be completed.


Create Custom Informed Consent

Custom Informed Consent allows you to create your own consent document.


To create custom informed consent:

  1. Select Custom.
  2. Enter the consent text in the editor.
  3. Use the formatting controls to customize the content as needed.
  4. Optionally, enable Anonymize to prevent Qualta from associating responses with personally identifiable information.

Do not enable Anonymize if your static questions collect personally identifiable information.


The Custom Informed Consent field is required when the Custom consent method is selected.


Review the Final Informed Consent

After creating or updating informed consent, you can review the final consent document from the Guide Detail page.


To review the final informed consent:

  1. Open the Guide you want to review from the Guides page.
  2. Select the Informed Consent tab.
  3. Review the generated consent text.

Qualta AI automatically adds standard consent language to the final informed consent document. Review the generated consent text on the Guide Detail page to see the complete consent that will be shown to participants.


Configure Demographics

The Demographics tab is used to select the demographic information collected from participants.


Select Demographic Fields

To select demographic fields:

  1. Click the Demographics tab.
  2. Select the demographic fields you want to collect.
  3. Repeat for any additional demographic fields.

The default demographic fields include:

  • Age
  • Education Level
  • Ethnicity
  • Marital Status
  • Religion
  • Annual Household Income (USD)
  • Employment
  • Gender
  • Political Leaning

You may select one, multiple, or all available demographic fields.


Demographic options can be configured from Team > Demographics in the navigation menu. The fields shown here are the default demographic fields available when creating a Guide.


Configure Limits

The Limits tab is used to control the number of interviews that can be completed and the period during which the Guide is available.


Set an Interview Limit

The Interview Limit setting controls the maximum number of interviews that can be completed using the Guide.


To set an interview limit:

  1. Click the Limits tab.
  2. Enter the maximum number of interviews in the Interview Limit field.

Enter 0 if you do not want to apply an interview limit.


The Interview Limit cannot exceed 65,000.


Set a Date Range

The Date Range setting controls when the Guide is available for interviews.


To set a date range:

  1. Click the Start Date field and select a start date.
  2. Click the End Date field and select an end date.

The Start Date must be earlier than the End Date.


Both the Interview Limit and Date Range settings are optional.


Publish the Guide

After configuring the Guide, publish it to complete the setup process and open the Guide Detail page.


To publish a Guide:

  1. Review the Guide configuration.
  2. Click PUBLISH.

After publishing:

  • The Guide is marked as Active.
  • You are redirected to the Guide Detail page.
  • A shareable interview link becomes available through the COPY LINK button.

Changes made on the Guide Edit page are saved automatically. You can leave the Guide Edit page and continue editing the Guide later before publishing.
